Dorset Diamonds Ltd ("we", "us", "our") is committed to protecting your personal data. This policy explains what information we collect, how we use it, and your rights under UK data protection law including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
We are the data controller for personal data collected through this website and in our Wimborne Minster showroom. If you have any questions, please contact us at Info@dorsetdiamonds.co.uk.
1. What data we collect
We may collect and process the following personal data about you:
- Identity data — your name and title.
- Contact data — email address and telephone number.
- Technical data — IP address, browser type and version, time zone, browser plug-in types, operating system and platform, and other technology on the devices you use to access this website.
- Usage data — information about how you use our website and services.
- Marketing and communications data — your preferences for receiving marketing from us and your communication preferences.
We do not collect any special category or sensitive personal data, nor do we collect any data about criminal convictions or offences.
2. How we collect your data
We collect data through:
- Direct interactions — when you book a consultation, fill in a contact form, or correspond with us by email, phone, or in store.
- Automated technologies — the technical data your browser sends when you visit our website, and the cookies described in Section 7.
3. How we use your data
We will only use your personal data when the law allows us to. The purposes for which we process your data and the lawful basis for each are:
- To respond to your enquiry — communicating with you about your enquiry, commission or repair. Lawful basis: legitimate interests.
- To manage your account and correspondence — responding to enquiries, booking consultations, and after-sales support. Lawful basis: legitimate interests.
- To send you marketing communications — newsletters, new arrivals, and offers, where you have opted in. Lawful basis: consent.
- To run and secure our website — keeping the website working, protecting it against misuse, and fixing problems. Lawful basis: legitimate interests.
- To comply with legal obligations — tax records, fraud prevention, and regulatory requirements. Lawful basis: legal obligation.
4. How we share your data
We do not sell your personal data. We may share it with trusted third parties who provide services on our behalf, including:
- IT service providers who host and maintain our website.
- Formspree, which receives the messages you send through our contact form and forwards them to us by email.
- Google, which provides the fonts used on this website and our showroom map. When your browser fetches these from Google's servers, Google receives your IP address and browser details. The map is only loaded if you choose to show it.
All third parties are required to handle your data securely and in accordance with the law.
Some of these providers, including Formspree and Google, are based in the United States, so your data may be transferred outside the UK. Where this happens, we make sure it is protected by appropriate safeguards, such as the UK International Data Transfer Addendum to the EU Standard Contractual Clauses, or the UK Extension to the EU–US Data Privacy Framework.
5. How long we keep your data
We retain personal data only as long as necessary for the purpose for which it was collected. Commission and repair records are retained for six years to comply with UK tax law. Marketing data is retained until you withdraw your consent. Technical and usage data is typically retained for no longer than 26 months.
6. Your rights
Under UK data protection law you have the following rights:
- Right of access — to request a copy of the personal data we hold about you.
- Right to rectification — to request correction of inaccurate or incomplete data.
- Right to erasure — to request deletion of your data in certain circumstances.
- Right to restrict processing — to request that we limit how we use your data.
- Right to data portability — to receive your data in a structured, machine-readable format.
- Right to object — to object to processing based on legitimate interests or for direct marketing.
- Right to withdraw consent — where processing is based on consent, you may withdraw it at any time.
To exercise any of these rights, contact us at Info@dorsetdiamonds.co.uk. We will respond within one month. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
7. Cookies
Cookies are small text files placed on your device by the websites you visit. We do not use analytics or advertising cookies, and we do not track you across other websites.
Strictly necessary cookies. Our website sets the following cookies because it cannot work properly without them, so they do not need your consent:
- Session cookie — keeps the website working as you move between pages and use its interactive features. It expires after two hours of inactivity.
- XSRF-TOKEN — protects forms on the website against cross-site request forgery. It expires after two hours of inactivity.
Google Maps cookies. Our pages show a placeholder in place of a map. If you press "Show map", the map is loaded from Google, and Google may set its own cookies on your device. These are controlled by Google and described in Google's cookie policy. Pressing "Show map" is how you consent to them. If you would rather not, you can use the "Open in Google Maps" link or find our address in the contact details on this website.
You can block or delete cookies at any time through your browser settings. If you block strictly necessary cookies, parts of the website may not work.
